The following information is provided as general information. Any discrepancies between this information and that contained in award terms and conditions, the award terms and conditions take precedence.

Award Closeout
Within 120* calendar days following the end of the period of performance, recipients must submit the documents noted below.
- Final claim for payment using the Request for Advancement or Reimbursement, SF-270 and related supporting documentation (e.g., Grants and Agreements Budget Expense Tables (GADBET)). Items to note:
- Ensure to mark claim as final on the SF-270
- Ensure required cost-share is reported on: 1) the SF-270 and 2) related supporting documentation
- Pay all your costs incurred under the agreement (e.g., subawardees, contractors)
- Submit liquidation requests of all advance payments to the agency
- Final Progress Report covering the full period of performance
- Federal Financial Report (SF-425)
- Other reports as required by the terms and conditions of the agreement

*For agreements with award terms dated January 2020 or prior, the requirement is within 90 calendar days.
Other requirements:
- Promptly notify us via email FPAC.BC.GAD@usda.gov if a repayment (i.e., return of funds to the agency) under the agreement is necessary. Guidance will be provided in response to the email.
- If equipment was purchased with award funds, and the recipient is:
- a State (as defined in 2 CFR 200.1), the equipment can be used, managed, and disposed of in accordance with the state laws and procedures.
- an Indian Tribe (as defined in 2 CFR 200.1) AND the agreement includes Award Terms and Conditions dated October 2024 or later, the equipment must be used, managed, and disposed of in accordance with tribal laws and procedures. If such laws and procedures do not exist, Indian Tribes must follow the guidance in 2 CFR 200.
- Neither of the above two criteria. A Closeout Letter provided to the recipient will provide further guidelines regarding equipment.
Delinquent Reports
Withholding of Payment: Payments will be withheld until report requirement is satisfied.
Specific Conditions: If a report continues to be delinquent, the agency or pass-through may impose specific conditions in accordance with 2 CFR 200.208.
Remedies for Noncompliance: If the agency determines that noncompliance cannot be remedied by imposing specific conditions, the Federal agency may take one or more of the remedies specified in 2 CFR 200.339, including suspension or termination.
If your organization materially fails to comply with the terms and conditions of an award by not meeting performance, financial, and/or administrative requirements, any remaining award balance may be de-obligated and your organization reported to the OMB-designated integrity and performance system (currently the Contractor Performance Assessment Reporting System (CPARS) which may impact future Federal financial assistance awards.
